Getting Started

Signing in and getting set up

You'll receive an invitation email from your administrator. Follow the link to set your password and you're in. Here's what to do first.

Accept your invitation
Click Accept Invitation in your email. You'll be taken to Koru Clinical to set a password. Your role and region are already configured by your admin.

Sign in at koruclinical.com
Enter your email and password. Koru Clinical remembers your session β€” you won't need to sign in again on the same device.

Select a client or start a conversation
Use the client selector in the header to choose a client, or start a general clinical conversation straight away.

Choose a mode
Select Clinical Supervision, Crisis Decision, Document Review, or Client Profile from the left sidebar depending on what you need.

Getting the most from your AI supervisor

Koru Clinical works best when you give it clinical context. The more specific you are about the scenario, the more useful and precise the guidance will be.

Tips for great queries
Describe the behaviour β€” topography, frequency, antecedents, consequences
Share what's already in the behaviour plan and what you've tried
Mention the client's diagnosis, age, and communication level
Use quick action chips for common supervision topics
Use voice if you're in the field and can't type

Staff Management

Managing your clinical team

As an admin, you have access to the Staff Management panel in the header. This is where you invite new staff, manage roles and regions, and deactivate or remove users.

Invite staff
Enter the staff member's name, email, role, and region. They receive an invitation email with a link to set their password.

Edit staff
Update a staff member's name, role, or region at any time. Changes take effect immediately on their next sign-in.

Deactivate staff
Deactivate a staff member to revoke access without deleting their account. Reactivate when they return.

Delete staff
Permanently remove a user and their data. You'll be asked to confirm before anything is deleted.
Inviting Staff

The staff invitation flow

When you invite a new staff member, Koru sends them a branded invitation email. Here's how the flow works from your side and theirs.

Open Staff Management
Click Staff Management in the header. You'll see a list of all current staff and their status.

Click Invite Staff and fill in the details
Enter the staff member's full name, email address, role β€” Behavior Technician or Behavior Analyst β€” and their region.

Staff receives an invitation email
They'll get a branded email from Koru Clinical with an Accept Invitation button. The link takes them directly to set their password.

They sign in and are ready to go
Once they set their password, their account is active with the role and region you configured. No further setup needed.
Roles and Regions

Understanding roles and regions

Every staff member has a role and a region. These control how Koru Clinical presents information and can be updated at any time from the Staff Management panel.

Roles
Behavior Technician β€” direct support staff implementing behaviour plans
Behavior Analyst β€” supervising clinicians who design and oversee plans
Admin β€” full access to staff management and platform settings
Role is shown in the header when the staff member is signed in
Regions
Regions help organise staff by location or team
Useful for filtering and reporting as your team grows
A staff member can only belong to one region at a time
Region can be updated without affecting the staff member's access

Day-to-day admin in Koru Clinical is straightforward. Here are the most common things you'll need to do and how to handle them.

Resending invitations
If a staff member didn't receive their invite, delete their account and re-invite with the same details. A fresh link will be sent.

Password resets
Staff can reset their own password using Forgot Password on the sign-in screen. You don't need to do anything.

Role changes
Click Edit next to a staff member to update their role or region. Changes take effect immediately.

Staff leaving
Deactivate first to remove access. Delete only when you're sure you won't need their record β€” deletion is permanent.
